How are tickets purchased and are my tickets safe? T & C

Tickets are available via Ticketsource : Secure online ticket agency.

Weekend tickets MUST be purchased in advance online.

You can purchase your day tickets online or the gate on the actual day.

We don’t get paid until after the event. Your payment is protected with Ticketsource.

Vanlife Festival Terms and Conditions

1. Ticket purchase and entry

  • All attendees must possess a valid pass / ticket for entry.
  • Tickets are non-transferable and non-refundable.
  • Entry will be refused if tickets are damaged, defaced, or not purchased from authorised sellers.
  • Wristbands must be worn at all times.
  • Please keep your tickets safe, as Vanlife Festival Ltd is not liable for any lost tickets. You will also need your tickets to be scanned at the entrance of the event.

2.  Day Visitor T’s & C’s

  • Valid for one day only.
  • Tickets are non-refundable
  • Saturday valid from 10:00 till 23:00 (last entry 1800)
  • Sunday valid from 10:00 till 16:00 (last entry 14:00)
  • All children 0 – 16 years MUST be accompanied by an adult with a valid ticket, to access the event.
  • Vehicles will be parked in day parking at owners risk.
  • The gates will be locked one hour after the festival officially closes.

 3.  Weekend Camping Visitor T’s & C’s

  • Tickets are non-refundable.
  • Valid from Friday 10:00 till Monday 13:00
  • All vehicles entering the site must abide by the 5 mph speed limit.
  • There will be NO vehicle movements permitted during specific festival hours unless authorised by festival staff. If you need to move your vehicle before show hours close, please relocate it to the Day Parking before 10am. This is for health and safety, and insurance reasons.
  • Camping overnight or private sales are not permitted in the Day Visitors car park. The gates will be locked one hour after the festival officially closes.
  • Bicycles / E-scooters are not permitted to be ridden within the festival area.
  • After 23:00 all amplified music must be switched off.
  • Children must be accompanied by an adult and are the guardian’s responsibility at all times.
  • Dogs must be kept under control and on a SHORT lead at all times. Please clean up after your dog(s). Failure to do so will result in you being asked to leave.
  • We value the safety and well-being of all attendees at Vanlife Festival. To ensure a secure environment, we have implemented a “No Dangerous Dogs” policy.
    For the safety of everyone present, we kindly request that attendees do not bring dogs deemed dangerous or displaying aggressive behaviour to the event. This includes specific breeds that are known to be more prone to aggression.
  • Camping spaces are allocated on a first-come, first-served basis.
  • Adherence to designated camping areas and pitch sizes is mandatory. Failure to comply with this will result in you being escorted off the site.
  • Festival organisers reserve the right to refuse entry or evict individuals violating the festival terms and conditions.
  • GLASS bottles must be kept within the confines of your camp area.
  • Do not obstruct footpaths and fire lanes.
  • NO GENERATORS PERMITTED AT ALL

  4. The Organisers:

  • Reserve the right to refuse admission to any persons or vehicles.
  • Will not tolerate aggressive/offensive behaviour to any visitor or member of staff. Disruptive or inappropriate behaviour may result in eviction without refund.
  • Cannot be responsible for any items stolen/ damaged or any accidents/injuries which occur on site.
  • We reserve the right to request that you move your vehicle for any reason that we feel fit and proper.
  • Organisers are not held responsible for any unauthorised activity.
  • No unauthorised sale of goods / touting.

7. Photography and filming :

  • Attendees consent to being photographed or filmed for promotional / social media & or security purposes.

8. Weather :

  • No refunds will be provided due to adverse weather conditions.
  • The festival organisers reserve the right to cancel or postpone the event without liability.

9. Health and Safety:

  • Attendees are responsible for their own health and well-being during the festival.
  • First aid will be available on-site.
  • River use is at your own risk. Individuals who choose to enter the river will not be under the responsibility of the event organisers.

10. Refund Policy:

  • We would like to inform you that, unfortunately, we do not offer refunds for ticket purchases. This policy is in place to ensure the smooth operation and planning of the event.

11. Liability:

  • Attendees enter the festival at their own risk. The festival organisers are not liable for any loss, injury, or damage sustained at the event.

12. Compliance with Laws:

  • Attendees must comply with all applicable laws and regulations.

By purchasing a ticket and attending the festival, attendees agree to abide by these terms and conditions.

How can I display my vehicle?

If you wish to Display your vehicle please email from February 2024 onwards.

 
Requirements of being a display vehicle.

Here are the details from VLF 24…
 
You are very welcome to arrive on Thursday 30th May from Midday – 20:00 (camping fee is £25 per vehicle) or Friday 31st May from 10:00 – 21:00.  You can also arrive from 08:00 Saturday morning 1st June, but be aware that you will need to arrive at the festival NO LATER than 10:00 on the Saturday as the show will be open. On Saturday, once the show has opened to the public at 10am the Displays Access Gate will be closed until Sunday 2nd June at 4pm. so you will need to be happy to stay until Sunday 2nd June until 4pm when the event closes to the public. 
 
WE CANNOT HAVE ANY VEHICLE MOVEMENT WHEN THE SHOW IS OPEN AS THIS IS CONDITION OF OUR INSURANCE.
 
People displaying will be able to camp in the display area and will not have to move all weekend.
We don’t expect you to stay with your vehicle all weekend but if you can give a few hours of your time to talk to our visitors at peak times 11am – 5pm and if you could please also bring some photos or some written information about your vehicle that people can read from your window we would appreciate that.

Can I come if I don't have a vehicle?

Yes, if you arrive by car, bus, train or bike you can bring a tent and camp for the weekend.

What are the show's opening hours for Day Visitors?

Arrival

Pre-event – Thursday 30th May

GOLDEN TICKET” – Bolt On – Thursday 30th May Early Arrival. Live stage music & Tom Dibb Camper-van Lounge, Limited Quantity Special Evening *full evening of live music on 2 stages.

This is possible from Midday on Thursday 30th May. (After 20:00 an overnight holding area operates until 10:00 the following morning. Note the camping fee still applies. Toilets will be available in the holding area but you will not be allowed to enter the main site until you have been issued with a wristband.)

*Embrace the Vanlife Festival experience with the “GOLDEN TICKET”, an extremely limited quantity ‘bolt on’ offering a delightful Thursday evening filled with special live music from “Tree House Sessions (as seen on the BBC) & the infamous Tom Dibb Camper-van Lounge. Immerse yourself with the beautiful vibe & energy of this one-off event with drinks & refreshments from the open bars & bespoke food vendors, or take a leisurely stroll down to the magnificent historic town centre of Shrewsbury, a gentle 15 minute walk along the River Severn.
If you would like to take advantage of this limited “GOLDEN TICKET”, please purchase this ‘bolt on’ option when you purchase your normal tickets, (Strictly first come, first served basis)…

Pre-event camping is only available for the Thursday night and CAN ONLY be booked online.

Arrival from midday on Thursday 30th May 2024. To qualify for this pre-event camping offer, when you arrive you must present your weekend camping pass(s) for ALL your attendees (purchased online in advance via Ticketsource). This will be scanned at the main gate, there WILL NOT be an option to buy this “GOLDEN TICKET” at the gate. (Weekend campers can stay until 13:00pm on Monday 3rd June!)

Friday 31st May 
Weekend camping access is from 10:00 – 21:00 (After 21:00 an overnight holding area operates until 10:00 the following morning. Toilets will be available in the holding area but you will not be allowed to enter the main site until you have been issued with a wristband.)

After 21:00 the vehicle access gate will be locked, so if you need to leave the grounds after 21:00 with a vehicle make sure you leave it in the day parking area.

Saturday 1st June ( Show day )
Weekend campers can arrive anytime from 10:00 onwards. Camping access closes at 20:00

After 20:00 the vehicle access gate will be locked, so if you need to leave the grounds after 20:00 with a vehicle make sure you leave it in the day parking area.

Sunday 2nd June ( Show day )

Show opening hours 10:00 -16:00

Gates for entry shut at 14:00

You are welcome to stay on the Sunday evening to join us at the ” Chill down”. Then you can leave at your leisure on the Monday if you wish.

Monday 3rd June

Everybody has to be off the showground by 13:00

 

Can I play my own music

Yes, as long as you are considerate to fellow vanlifers. After 23:00 all amplified music must be switched off.

Can I have a firepit or BBQ?

You can have a small firepit or BBQ so long as it is off the floor and does not cause any damage to the ground. Any lit fires or BBQs must be attended at all times. They must be at least 3m away from any tents or awnings. The entire site will be patrolled by Fire Stewards and Security, and they can require the fire pit or BBQ to be extinguished if they are not satisfied that it is being managed appropriately.

Disposable BBQs are not allowed for safety and litter reasons.

Are tents and caravans welcome to the event?

Yes, tents, caravans and every type of camper are all welcome.

What entertainment will there be?

There is daytime and evening entertainment. Music provided by Tom Dibb and guests all weekend. Plus Fri, Sat evening entertainment provided by Britpop band, Rhiannon, Dave Manning, Davey Malone. There will be facepainting, Bushcraft, Drum workshops, fair rides, workshops, talks and other children’s activities. This will be updated on our website.

Are programmes available at the event?

Information sheets covering what’s on, including the talk schedule and a handy site map will be available to download from the website onto your own device or print closer to the date. You can take a look at VLF 24 downloads which are on our website.

CAMPING

What are the camping facilities and can I bring a generator?

Facilities include toilets and shower blocks, as well as plenty of portable toilets across the site to ensure you do not have too far to walk.

There are onsite chemical toilet disposal points ( Elsan point) and fresh drinking water points dotted around the site.

Electric hook up points
There is a limited amount of electric hook up available and this will be prioritised to those with special requirements for medical needs. Anyone that requires Electric please email info@thevanlifefestival.co.uk . There will be a small additional charge for this payable directly to the showground.

Campers are not allowed to use petrol/diesel generators when on site. The noise and pollution generated does not fit in with our ethos of a relaxing festival. Solar powered power stations are more than welcome.

There will be some charging points available for charging mobility scooters etc, however Vanlife Festival will not be held responsible for any loss or damage to any items left on charge. Please ask the crew at the Info for directions.

Are there queues at Check-in?

To avoid any potential queues at Check-in, campers are advised to arrive before the early evening rush on Friday 31 May 2024.

Waiting time will be minimal on Thursday, the pre-event day, so if you can, arrive early to meet others in the social area, plus meet the Vanlife Festival Team.

Pre-event camping is only available for the Thursday night and CAN ONLY be booked online as a Golden Ticket ‘ bolt on ‘. See Ticketsource booking for more details

What happens if I arrive late evening?

Due to Health & Safety / Insurance requirements preventing vehicle movement in the evening, an ‘Overnight Holding Area’ operates on the Thursday from 20:00, for which there will be a fee per vehicle. The holding area will be open on Friday from 21:00 and Saturday from 20:00 for any late arrivals. Toilets will be available in the holding area, but you will not be able to access the main site without a wristband.

Is camping available pre-event ?

Pre-event – Thursday 30th May

If you would like to take advantage of the half term holiday, why not beat the rush and arrive early for pre-event camping @ £25 per vehicle, this includes camping pitch.

This is possible from midday on Thursday 30th May.

Pre-event camping is only available for the Thursday night and MUST be booked online.  When you arrive you must present your weekend camping pass and pre event golden ticket (purchased online in advance via Ticketsource). This will be scanned at the main gate.

Weekend campers can stay until 13:00 noon on Monday 3rd June.

When do campers have to depart?

Campers must leave the venue by 13:00  Monday June 3rd 2024.

Is there an onsite shop?

There will be an onsite shop selling all the general groceries, also the nearest local Spar store is on 46 Ellesmere Rd, Shrewsbury SY1 2PR. Just a short walk away.

Is single night camping available?

No … sorry! This is due to logistics and the running of the event.

How much is parking?

All day parking is free. Cars are parked at your own risk and Vanlife Festival will not be liable for any loss or damage whatsoever or how ever caused or sustained to, by or in respect of any cars or their contents.

Is the event disabled-friendly?

Most of the site is flat and has tarmac roadways. There is a small section of uneven ground with no roadways.

There will be disabled toilets, blue badge holder parking and disabled camping closer to the event activities.

Disabled carers are free but will need to produce a Carer’s Card or a letter from DWP as proof. The carer will then get the same wristband as the ticket holder.

 

Is there a Disabled Camping Area?

For blue badge holders there is a grass area allocated for those with mobility issues.
Once you’ve presented your Blue Badge at check-in upon arrival, simply inform the Crew member on the gate and they will direct you to the Disabled Camping Area. Please display your Blue Badge throughout the event, otherwise you will be moved on to a
Standard Camping Pitch.

Are there any concessions?

Under 5’s go free. Disabled carers are also free but will need to show a carers card or documentation as proof.

Is there mobility scooter hire available on site?

Unfortunately we do not have any mobility scooter hire on site at this event. If you bring your own, there will be some areas where they can be recharged at the owner’s risk.

Can I take photos/videos at the event?

Yes. Feel free to tag us in your Social Media posts. We also have no objections to drones being used as long as you meet the requirements of the UK civil aviation authority & fly within the accordance of the law. All drone operators will be held responsible for any damage, injury or loss.

What facilities are available?

There are portable / disabled toilet blocks around the showground. Plus limited showers available. There are mains water supplies for campers dotted around the site. Unfortunately there is limited electric hook-ups reserved for those with medical needs. However, wheelchairs, mobility scooters, phones, etc. can be recharged at the owner’s risk at areas around the ground.

TO PREVENT BLOCKING TOILETS AND CAUSING A MESS, DO NOT EMPTY YOUR CAMPER’S ELSAN TOILET CASSETTE INTO TOILETS. Only use the designated Elsan points.

Are there crèche facilities?

No

Are dogs and other pets allowed?

Yes … on short leads and under control at all times, plus ‘clean up’ is essential.

No pets are permitted in any enclosed entertainment venues.

Owners who let their dogs run loose will be warned once and if they re-offend any further breaches to the rules, they will be escorted off-site with no refund. We have these rules in place in the interest of your pets and our visitors. Please be responsible.

What is the medical/first aid procedure?

24hr Medical / Fire / Water rescue Emergency number updated closer to the event.

Medical and First Aid personnel will be on site during the show. Their location will be on the site map. If it is urgent notify an Event Crew member and they will radio for help.

Is there an Elsan point available?

Yes there will be Elsan points on the site to dispose of your chemical toilet waste and can be found labelled on the site map. Do not put any toilet waste down the portable toilets or other toilets. Anyone caught putting their toilet waste into anything other than an Elsan point will be removed from the grounds.

Is there a cash machine on site?

No. The nearest is at a nearby grocery store is a local Spar store on 46 Ellesmere Rd, Shrewsbury SY1 2PR. Just a short walk away..

Is there security on site?

24hr security number updated closer to the event.

Yes, we will have 24h security throughout the whole event. Vanlife Festival reserve the right to check your wristbands at any time. A wristband system operates, therefore it is possible to come and go as you please on show days.
